What you get back.
A short written report, not a sales pitch. Every finding answers the same four questions, in plain English.
Keep the findings, fix them yourself, hand them to your accountant, or ask us. They are yours whether or not you hire us.
What is wrong
Account by account: what is misclassified, unreconciled or missing.
What it affects
Your profit, your balance sheet, your tax return or a filing.
What would fix it
What we would do about it, and a fixed quote only if you ask for one.
Whether you need us at all
If your books are fine, we say so.
An Example findings letter, for a made-up business.
This is the format you get back, filled in for an online store we invented. Your letter covers your own file, most important first.
How to read the tags
- Fix
- Wrong today, and it changes your numbers or a filing.
- Check
- Needs a fact only you have before we can say.
- OK
- Checked and in order, so you can stop worrying about it.
Every letter ends with a short summary. What happens next is up to you: fix it yourself, hand it to your accountant, or ask us for a fixed quote.
We read your file from January to September 2026. Nothing in your books was changed. Here is what we found, most important first.
- Fix
Business checking not reconciled since May
412 transactions from May to September are unmatched to the bank statements, so no balance after April can be relied on. We would reconcile May onward, month by month.
- Fix
Shopify payouts booked as sales
38 payouts totaling $96,420 sit in sales. Split correctly, they are sales of $94,980 plus $5,860 of sales tax collected, less refunds of $1,240 and fees of $3,180.
- Fix
Owner transfers recorded as income
Four transfers from the owner’s personal account, $12,000 in all, are counted as sales. They belong in owner contributions.
- Check
Sales tax collected, no returns in the file
The $5,860 collected through Shopify shows no matching returns or payments. Tell us where you are registered and we will check what is due.
- Check
Contractor payments without a W-9 on file
Three contractors were paid more than $2,000 this year, the 1099-NEC threshold for 2026. Forms are due February 1, 2027.
- OK
Credit card and payroll
The business credit card is reconciled through September, and payroll entries match the Gusto reports.
Summary: three things to fix and two to check. Until the owner transfers and the sales tax are moved out of sales, profit for the nine months is overstated by $17,860.
Example only: a made-up business. The figures add up but belong to no real client.
The six things that are usually wrong.
A review is not a re-typing of your year. It looks for the handful of structural problems that make every number wrong.
Unreconciled accounts
Bank and card accounts never matched to their statements. Until they are, no figure in the file can be trusted.
Miscategorized spending
Owner draws sitting in expenses, transfers booked as income, loan repayments expensed.
Duplicate entries
A bank feed connected twice, or a manual entry that was also imported. Both overstate sales and costs.
Payouts booked as revenue
Shopify, Amazon and Stripe deposits recorded as sales, which hides fees and turns sales tax into income.
A balance sheet that does not tie
Opening balances that never matched the prior return, or undeposited funds that quietly grew.
Missing filings
Sales-tax, payroll or 1099 obligations the file says you have, with nothing to show they were filed.
Want to look first yourself? Here are the signs your QuickBooks needs a cleanup, and how to check each one.

Questions about the review.
Is the books review really free?
Yes. No card, no obligation and no sales call required. It costs us a couple of hours, and it is the most honest way to show you what we do.
How do I invite you to QuickBooks Online or Xero?
Invite our company email, hello@remotebookkeepersllc.com, as your accountant. It takes a minute, and you never share your login.
QuickBooks Online: Settings (the gear icon) › Manage users › Accounting firms › Invite.
Xero: Settings › Users › Invite a user, and choose the advisor role.
Any other software (Zoho Books, FreshBooks, Wave, NetSuite, Sage and so on): add an accountant or user with the same email.
For the review we only read the file, and you can remove us any time from your own user settings.
Will you change anything in my books?
No. We only read the file and write up what we find, and nothing in your books changes. If anything needs fixing, the findings say what and why, and you decide who fixes it.
What do I get back?
Within about 48 hours, a plain-English list of what is misclassified, unreconciled or missing, what it affects, and what we would do about it. It is yours to keep whether or not you hire us.
How quickly will I hear back?
We reply to your request within one business day with the access steps. Your written findings follow in about 48 hours from when we have access. Our hours are Mon-Sat, 9am-5pm EST.
Do I need to tidy up my books first?
No. Send what you have. If your books are a mess or months behind, that is when the review is most useful. There is no judgment, only a list of what to fix.
What if my books are not in QuickBooks Online or Xero?
That is fine. Add us as your accountant in the software you use, such as Zoho Books, FreshBooks, Wave, NetSuite or Sage, and we review the file the same way.
If your books are in spreadsheets or nowhere yet, book a free consultation (opens in a new tab) and tell us what you have. We will give you a straight answer on the best first step.
What happens after the review?
Nothing, unless you want it to. Keep the findings, fix them yourself, hand them to your accountant, or ask us for a fixed quote. Then remove our access.
If the books are wrong, that is our QuickBooks cleanup services; if they are months behind, our catch-up bookkeeping services. Both are quoted as a fixed price first, and ongoing work follows our published bookkeeping pricing.
