Xero bookkeeping services. For US small businesses.
Our Xero bookkeeping services give US small businesses a bookkeeper who knows Xero and US rules: sales tax, 1099s and payroll, all reconciled inside your own Xero file every month.
Starter plan, from $150/month
- Sales tax held as a liability, state by state
- Contractors tracked for 1099s all year, not in a January rush
- Gusto pay runs booked and matched to the bank
You invite us as your advisor, from your own Xero
A Xero bookkeeper for US rules: sales tax, 1099s and payroll.
Xero started in New Zealand, and much of the Xero advice online is written for GST or VAT, one national tax. US books work differently.
Sales tax, by state
US sales tax is set by each state, often with local rates on top. We check the tax rates on your invoices and payouts and keep what you collect in a liability, not in income. Filing the returns is sales-tax filing, in the Growth plan.
1099s, ready in January
Contractors you pay $2,000 or more in 2026 need a 1099-NEC by February 1, 2027 (it was $600 through 2025). We keep contractor contacts and W-9s in order all year. Preparing and filing the forms is part of tax preparation, in the Growth plan. See the 1099 threshold for 2026.
Payroll that lands right
In the US, payroll for a Xero file usually runs in a connected app such as Gusto. We check each pay run lands in the right accounts. Running payroll, multi-state included, is our payroll service.
What we do in your Xero file each month.
Statement lines matched
Bank feeds bring statement lines into the Reconcile tab. We match each one to an invoice, bill or transfer, or code it, and only then select OK.
Rules and recoding
Bank rules handle your regular payees. When something was coded to the wrong account, we fix it at the source so it does not repeat next month.
Payouts, payroll and tax
Stripe, Shopify and PayPal payouts split into sales, fees and refunds. Pay runs matched. Sales tax held as a liability, by state.
Reconciled and reported
Each account tied to its statement balance, then your profit and loss and balance sheet, by the 5th of each month.
A closed month in Xero, the US way.
Here is a made-up online store's September after the close: every account reconciled, sales tax held by state, contractors tracked for 1099s, and the reports out by the 5th.
Your month will have different accounts and numbers. What stays the same is the standard: nothing left unmatched in the Reconcile tab, nothing collected for a state sitting in sales, and no surprises in January.
- Bank and card accounts
- 3 reconciled to their September 30 statements: checking, savings and the business credit card
- Stripe payouts
- 9 payouts split into charges, fees and refunds
- Sales tax collected
- $1,286.40, held as a liability: Colorado $412.80, Illinois $538.25, Ohio $335.35
- Payroll
- 2 Gusto pay runs booked and matched to the bank
- 1099 watch list
- 2 contractors paid $2,000 or more so far in 2026, both with a W-9 on file
- Reports sent
- Profit and loss and balance sheet, October 3
Example only: a made-up business. The figures add up but belong to no real client.

Xero with Gusto, Stripe and Shopify.
Xero is built around connected apps. Each one posts to your books in its own way, and each needs a person to check it.
- Gusto
- Each pay run posts wages, employer taxes and deductions to Xero. We map them to the right accounts and match the net pay and tax payments to the bank.
- Stripe
- Payouts arrive net of fees and refunds. We split each payout so sales show in full, fees show as an expense, and the Stripe balance ties out.
- Shopify
- A payout is not revenue. We separate sales, discounts, refunds, fees and the sales tax you collected for each state.
- PayPal, Square and Wise
- Treated as accounts of their own and reconciled every month, like a bank, so money moving between them is never counted twice.

Xero bookkeeping pricing. The same plans, from $150.
Bookkeeping in Xero costs the same as in QuickBooks. We look at your volume and complexity first, then confirm one fixed monthly fee, with no hourly billing and no long-term contract. If your volume grows a lot, we talk first, and any change is agreed with you in advance.
What sets your fee
- How many statement lines come into Xero each month
- How many bank, card and payment accounts you reconcile
- How many apps post to Xero, and how many states you collect sales tax in
-
Starter
Starts hereFrom $150/month
Monthly bookkeeping in your Xero file: reconciliations, categories, a profit and loss and balance sheet, email support and a named contact.
-
Growth
IncludedFrom $350/month
Adds payroll processing and filings, sales-tax filing, tax preparation and a monthly review call.
-
Scale
IncludedFrom $650/month
Adds inventory and cost of goods sold, multi-channel reconciliation, cash-flow reporting and fractional CFO support.
“From” is the fixed monthly fee for a typical business in that plan. Your Xero subscription stays in your name. Fixing past months is quoted separately, as one fixed price.
Xero cleanup and catch-up. The past first, then the monthly work.
A Xero file can look busy and still be wrong: hundreds of unreconciled statement lines, payouts booked as sales, sales tax sitting in income.
If the file is current but wrong, Xero cleanup corrects it. If months were never entered, catch-up bookkeeping rebuilds them from your statements. Either way you get one fixed price in writing before any work starts, and the monthly bookkeeping takes over from clean books.
Not sure which you need? The free books review tells you, in about 48 hours.
Xero or QuickBooks?
If Xero works for you, stay on it. Both run US small-business books well, and the better choice is usually the one your team already knows. We work in both and earn the same fee either way, so we have no reason to push a move. On QuickBooks instead? See our QuickBooks Online bookkeeping.
Xero books for your industry
We keep Xero books for ecommerce sellers, agencies and consultants, SaaS companies, landlords, restaurants and contractors. Each has its own traps, from Shopify payouts to deferred revenue.

How do I add you to Xero?
In Xero, open Settings, choose Users, then Invite a user. Enter hello@remotebookkeepersllc.com, choose the Advisor role and send the invite. We accept and confirm by email. You can remove us any time from the same Users screen.
My Xero file is a mess. Where do we start?
With the free books review. You invite us, we read the file without changing anything, and in about 48 hours you get a written list of what is unreconciled or miscoded. If it needs fixing, we quote one fixed price for the cleanup or catch-up before any work starts, then move you onto monthly bookkeeping.
How much does Xero bookkeeping cost?
From $150 a month on the Starter plan for monthly bookkeeping in your Xero file, and from $350 on Growth, which adds payroll, sales-tax filing and tax preparation. The fee is fixed after a short look at your volume. Your Xero subscription stays in your name.
Should I switch from Xero to QuickBooks?
Usually not. Moving software takes time and can split your history across two systems. It is worth a look only for a specific reason, such as an app you depend on that connects to one and not the other. If you are weighing it up, we will talk it through on a free consultation and give you a straight answer.
Do you handle US sales tax in Xero?
Yes. Every month we check that sales tax on your invoices and payouts uses the right rates, keep what you collect in a liability for each state, and reconcile it. Filing the returns is part of sales-tax filing in the Growth plan, from $350 a month.
