QuickBooks cleanup services. Bookkeeping cleanup, done properly.
We find what is wrong and fix it. Our QuickBooks cleanup services trace the structural errors that make every number wrong, in QuickBooks Online or Xero, correct them at the source and show you in writing exactly what changed.
A fixed price, quoted before any work starts
- The errors behind the numbers, found
- Each one fixed properly, not papered over
- A written list of what changed and why
Corrected in your own QuickBooks or Xero
A file can look maintained. And still be wrong.
Coding errors, duplicates and accounts that never reconciled quietly distort every report built on top, and the tax return too.
A cleanup is not re-typing a year. We find the handful of structural errors behind the numbers, correct them properly, and give you a written list of what was wrong and how it was fixed.
It usually starts with a feeling: the bank balance and the books disagree, profit looks too high or too low, or you inherited a file from someone else and cannot vouch for it. The free books review turns that feeling into a list.
Where it stops. Fixing the books does not change a return that has already been filed. Anything that could affect a filed return goes on a list for you and your tax preparer, who decides whether anything needs amending.
Who it is for
- Books that don’t tie to the bank
- An inherited file you don’t trust
- Before tax season or a loan
- A new system that kept the old mess
Probably not the right fit if months have nothing recorded at all. That is catch-up bookkeeping services, and we do that too.
What a QuickBooks cleanup includes. And what it does not.
The errors that make everything downstream wrong, found and corrected at the source, in QuickBooks Online or Xero.
Included in a cleanup
- Duplicate transactions found and removed
- Income and spending moved to the right accounts
- Every account reconciled to its statements
- Opening balances corrected so the file starts from the truth
- The chart of accounts merged, renamed and simplified to fit the business
- Prior reports re-checked and corrected
Not included, or a separate service
- Months with nothing recorded: catch-up bookkeeping, often done alongside
- Amending a filed return: we list what could affect one, and your tax preparer decides
- Filings the books show are missing: we flag them, and filing is part of payroll and tax preparation
- Keeping it right afterwards: monthly bookkeeping, from $150/month

How a cleanup runs.
Diagnose
We open the file and find the structural errors: unreconciled accounts, miscoded entries, duplicates and opening balances.
Quote
One fixed price for the whole cleanup, agreed before any work begins.
Correct
Every account reconciled, entries moved or removed, and the balance sheet put right.
Hand over
Prior reports re-checked, and a written list of what was wrong, what we changed and why.
What we need from you
Less than you might think. Most of the work happens inside the file. How long it takes depends on how many accounts need reconciling, how far back the errors run and how quickly statements arrive, so tell us about any tax or loan deadline up front.
- For the free review, add us as your accountant using hello@remotebookkeepersllc.com
- For the cleanup, the same access, so we can make the corrections
- Bank and card statements for the months we correct
- Your last filed tax return, so opening balances tie to it

What you get back. A written list of what was wrong.
Every cleanup ends with a short report: what we found, what we changed and why, and anything your tax preparer should see.
We corrected your file for January 2025 to August 2026. Here is what was wrong and what we changed, most important first.
- Fixed
Bank feed connected twice in March 2026
38 card transactions were counted two times, overstating expenses by $4,120. We removed the duplicates and disconnected the second feed.
- Fixed
Checking last reconciled in October 2025
Ten months, November 2025 to August 2026, reconciled to the statements. Fourteen old uncleared items matched or cleared.
- Fixed
Owner transfers booked as income in 2025
$12,000 moved from savings to checking was recorded as sales. Reclassified as a transfer between your own accounts.
- Fixed
Opening Balance Equity left at $6,315
The balances entered when the file was set up never matched the bank. Corrected to the December 31, 2024 statements, and the account now reads zero.
- Check
2025 income was overstated by $12,000
Your 2025 return was filed on the old numbers. Listed for your tax preparer, who decides whether an amendment is needed.
Effect on the numbers: 2026 profit to August is $4,120 higher than the old file showed, and 2025 income is $12,000 lower.
Example only: a made-up business. The figures add up but belong to no real client.
What a cleanup costs. One fixed price, agreed before work starts.
A cleanup is a one-off project, priced after the diagnosis, so you decide with the full picture instead of an open meter. The price is in writing before we change anything.
What sets the price
- How many accounts need reconciling
- How many months the errors run back
- How many transactions need recoding
- How far the opening balances are out
- Whether payroll, sales tax or inventory need correcting too

Monthly
If you wantfrom $150/month
Monthly bookkeeping keeps the file right once it is clean.
Ongoing work is a flat monthly fee. Or take the tidy file elsewhere: it lives in your own QuickBooks or Xero.
Xero cleanup.
Our bookkeeping cleanup services work the same way in Xero: diagnose, quote one fixed price, correct at the source and list every change. The problems just have different names.
Once it is clean, Xero bookkeeping keeps it that way, in the same file.
What we usually find in a Xero file
- Statement lines left unreconciled for months, or matched to the wrong transactions
- The same transactions imported twice, from the bank feed and a manual statement upload
- Bank rules that keep coding new transactions to the wrong account
- Conversion balances that never tied, parked in Historical Adjustment
- Tracking categories used one way one month and another the next
- Stripe, PayPal or Shopify payouts booked as one deposit instead of sales, fees and refunds
Files we clean up.
All industriesQuickBooks cleanup questions.
How do I know if my books need a cleanup?
If your bank accounts don’t reconcile, your profit and loss looks off, or you’ve inherited a file you don’t trust, a cleanup is usually the fix. A free books review will tell you for sure, and if your books are fine, we say so.
How much does a QuickBooks cleanup cost?
It is one fixed price, set after the diagnosis and agreed in writing before any work starts. What moves it: how many accounts need reconciling, how far back the errors run, how many transactions need recoding, how far the opening balances are out, and whether payroll, sales tax or inventory need correcting too.
Will a cleanup change my past tax returns?
No. Fixing the books does not change a return that has already been filed. Anything that could affect a filed return goes on a list for you and your tax preparer, who decides whether an amendment is needed.
Would it be easier to start a new file?
Sometimes. If the problems are old and the records are thin, starting clean with correct opening balances can be quicker. We tell you which route makes more sense for your file before you commit to either.
Will you tell me what was wrong?
Yes. You get a written report of what we found, what we changed and why, laid out like the example on this page, so you know what happened and how to stop it happening again.
What happens after the cleanup?
You get accurate, tax-ready books and the option to keep them that way with monthly QuickBooks Online bookkeeping or Xero bookkeeping, for a flat monthly fee. Or take the tidy file elsewhere. It lives in your own QuickBooks or Xero, so you own it either way.
