Catch-up bookkeeping services. We’ll bring your books up to date.

Our catch-up bookkeeping services rebuild your books from bank, card and processor records, whether you are three months or three years behind, reconcile every account and hand them back tax-ready.

A fixed price, quoted before any work starts

Your catch-up
  • Every missing month rebuilt from source records
  • Every account reconciled to its statements
  • A profit and loss and balance sheet for each period

Rebuilt in your own QuickBooks or Xero

Behind is normal. And fixable.

Most businesses fall behind the same way: the work got busy and the books waited. However far back it goes, it can be put right.

You don’t need to organize anything before you get in touch. Send what you have. We tell you what is missing, quote one fixed price, then rebuild the books month by month until they are current.

The real cost of a backlog is not the backlog itself. It is that every decision, loan application and tax return in the meantime rests on numbers nobody has checked, and the longer it sits, the harder the next tax season gets.

Where it stops. Catch-up builds books that are missing or behind. If your books exist but the numbers are wrong, that is a bookkeeping cleanup. Many files need a bit of both, and the free books review tells you which.

Who it is for

  • Months or years behind
  • Behind with tax season coming
  • Doing the books yourself until now
  • Never had proper monthly books

Probably not the right fit if you only want a once-a-year tax filing with no bookkeeping, or need a bookkeeper working in your office.

A large pile of loose paper receipts and statements waiting to be sorted

What catch-up bookkeeping includes. And what it does not.

Built from your statements, not estimates, with every balance proved month by month.

Included in a catch-up

  • Every missing month rebuilt from bank, card and processor records
  • Every bank and card account reconciled to its statements
  • Miscoded transactions moved to where they belong, consistently
  • A chart of accounts set up so the whole catch-up holds together
  • A profit and loss and balance sheet for each period you were behind
  • A tax-ready handover, with notes on anything that affects a return

Not included, or a separate service

  • Fixing books that exist but are wrong: QuickBooks cleanup services, often done alongside
  • Keeping the books current afterwards: monthly bookkeeping, from $150/month
  • Preparing your tax returns: tax preparation, in the Growth plan
  • Guesswork: if a record cannot be found, we tell you what is missing rather than invent a number

Tools we work with for a catch-up

  • QuickBooks
  • Xero
  • Shopify
  • Stripe
  • PayPal
  • Square
  • Wise
  • Sage
  • We also work from Expensify exports.

How a catch-up runs, month by month.

  1. Look and quote

We look at the file and what is missing, then quote one fixed price before any work starts.

  2. Gather the records

You send the statements on our list. Missing some? We tell you exactly which months we still need.

  3. Rebuild each month

Every transaction coded, payments matched and each account reconciled to its statement before the next month starts.

  4. Hand back

Reconciled books, a profit and loss and balance sheet for each period, and notes for tax time.

What we need from you

Send what you have. Most banks let you download past statements, and we tell you exactly what is still missing.

  • Bank and card statements for each month you are behind, closed cards too
  • Payout reports from Stripe, PayPal, Square or Shopify
  • Payroll reports, if you paid staff in that time
  • Loan and lease statements
  • Your last filed tax return, so the books tie to it
  • For the catch-up itself, add us as your accountant in your own software, and remove us any time

How long catch-up bookkeeping takes.

A focused catch-up is measured in weeks, not months. Transaction volume and the state of your records matter more than the calendar.

Typical catch-up effort by how far behind the books are
How far behindTypical effortHow we run it
1-3 monthsDays to a weekAll the missing months rebuilt and reconciled in one pass
3-12 monthsOne to a few weeksMonth by month, each one reconciled before the next starts
1-3 yearsA few weeks, phased by yearOne year at a time, so each tax year is finished in turn
More than 3 yearsScheduled once we see the recordsPhased by year, starting with what your tax preparer needs first

Timelines are illustrative and depend on volume and record quality. We confirm a realistic schedule after a quick look at the file, and if you have a tax or loan deadline, we tell you plainly whether it can be met.

What speeds it up

  • Statements downloaded for every account, closed ones too
  • Payment apps connected, or their payout reports exported
  • One person who can answer our questions within a day or two

What slows it down

  • Statements we have to wait for
  • Business and personal spending in one account
  • Cash sales or payments with no record
  • Payroll paid outside a payroll system

Catching up in QuickBooks Online or Xero.

The catch-up happens inside your own file, so the rebuilt history stays with you whatever you decide next.

QuickBooks Online

QuickBooks catch-up bookkeeping happens in your own file. Add us from Settings, then Manage users, Accounting firms and Invite, using hello@remotebookkeepersllc.com.

  • Old bank feed imports matched to statements, so nothing is counted twice
  • Shopify, Stripe and Square payouts split into sales, fees and refunds
  • Each month reconciled in QuickBooks, so its reconciliation reports show the work

Afterwards: monthly QuickBooks Online bookkeeping keeps the file current.

Xero

Add us from Settings, then Users and Invite a user, as an advisor, using hello@remotebookkeepersllc.com.

  • Old statement lines matched or explained, not left sitting unreconciled
  • Bank rules checked, so they stop repeating old miscodes
  • Each month reconciled to the bank statement balance, not just the feed

Afterwards: Xero bookkeeping every month, in the same file.

Either way

  • Bank feeds often reach back only a limited time, so older months are rebuilt from downloaded statements
  • Every month ties to the statement balance before it counts as done
  • Your file, your subscription, your history: nothing moves to our systems

Free books review

See how far behind you are. Free, in about 48 hours.

Add us as your accountant in QuickBooks Online, Xero or the software you use. You get a plain-English list of what is missing, unreconciled or miscoded, and what it would take to fix. Yours to keep.

  1. Send the form

Two minutes. Tell us which software you use and roughly how far behind you are.

  2. Add us as your accountant

Invite hello@remotebookkeepersllc.com from your own software (here is how to add us as your accountant). We only read the file, and nothing in your books changes.

What the review tells you

  1. How far behind you really areWhich months are missing, account by account.
  2. What has never reconciledBank and card accounts that do not tie to their statements.
  3. Which statements we still needSo you only chase the ones that matter.
  4. Whether cleanup is needed tooBooks that exist but are wrong, alongside the missing months.
  5. Filings that look outstandingSales-tax, payroll or 1099 obligations with nothing filed.
  6. What it would take to fixAnd a fixed quote, if you ask for one.

What happens at tax time.

Catching up and filing are linked. This is how they fit together.

If returns are overdue
Catch-up gives you reconciled books and a profit and loss and balance sheet for each period, which is what every late return needs. We list the returns that look outstanding, so you or your tax preparer can act on them.
If a deadline is close
Tell us the date when you ask for a quote, and we will tell you plainly whether it is realistic. An extension gives more time to file, not more time to pay, so it is worth knowing early.
Once you are current
Your books are tax-ready. Monthly bookkeeping keeps them that way, and small business tax preparation is part of our Growth plan, so the next return starts from clean numbers.
Whatever you decide
The rebuilt books live in your own QuickBooks or Xero. Keep working with us, or take the clean file to anyone you like. You own it either way.

What drives a catch-up quote. One fixed price, agreed first.

A catch-up is a one-off project, so it is quoted as one price for the whole backlog. We look at the file first, then put the price in writing before any work starts. No meter running, and no surprise bill at the end.

What sets the price

  • How many months are missing
  • How many bank, card and payment accounts you have
  • How many transactions run through them
  • Whether payroll ran in that time
  • How many statements and records are missing

For more on what moves the cost and the schedule, read our guide to catch-up bookkeeping cost and timeline.

Catch-up or cleanup: which do you need?

Catch-up bookkeeping questions.

How much does catch-up bookkeeping cost?

It is one fixed price for the whole backlog, quoted in writing before any work starts. The price depends on how many months are missing, how many accounts you have, how many transactions run through them, whether payroll ran in that time and how many records are missing. The free books review gives us what we need to quote. Our guide to what catch-up bookkeeping costs explains each driver.

How far back can you go?

As far back as your records go. We rebuild month by month from bank, card and processor statements, so the books rest on what actually happened. Older years take proportionally more time, and we phase them by year.

What if I’m missing bank statements or receipts?

Most banks let you download past statements, or will send them on request. Receipts back up specific items, and we flag the few that matter rather than asking for every one. If something truly cannot be found, we tell you rather than invent a number.

Do I have to send everything at once?

No. Send what you have. We start with the months that are complete and give you a short list of what is still missing, account by account, so you only chase the statements that matter.

I haven’t filed taxes for those years. Can you help?

Catch-up gives you the reconciled books and the statements every late return needs. We list the returns that look outstanding, so you or your tax preparer can deal with them in the right order. Once your books are current, tax preparation for the years ahead is part of our Growth plan.

Can my own tax preparer use the caught-up books?

Yes. The books live in your own QuickBooks or Xero, reconciled to the statements, with a profit and loss and balance sheet for each period and notes on anything that affects a return. Your preparer can work straight from the file.
